Mandalay Bay Resort & Casino's Go-To Photo Booth Team
Mandalay Bay Resort & Casino sits at the south end of the Las Vegas Strip and houses one of the largest convention centers in the United States -- over two million square feet of exhibit and meeting space. Social Booth LV has been a preferred photo booth vendor at Mandalay Bay for years.
The variety of spaces at Mandalay Bay is what makes it such a dynamic venue for photo booth activations. Convention Center halls A through F give exhibitors massive floor space. The Grand Ballroom hosts black-tie galas. Mandalay Beach is a unique setting for summer parties and product launches.
What sets our Mandalay Bay service apart is logistics expertise combined with creative flexibility. For convention exhibitors, we handle everything from Freeman or GES coordination to booth power drops. For resort events, we work directly with your Mandalay Bay event coordinator on room layouts, timing, and AV compatibility.
Mandalay Bay Convention Center Load-In
At Mandalay Bay Convention Center, show management sets the load-in window for your specific event; the venue doesn't run one fixed daily schedule. Mandalay Bay's published Event Setup & Support Services page lists the Business Center as open 7 a.m. to 7 p.m. daily, with direct loading dock contacts for coordinating move-in, but your actual slot is scheduled through the show.
The loading docks sit on Level 1. Dock assignments for a show typically come from the general services contractor (often GES) or the show's official decorator, not the venue. GES drayage guidance routes air shipments for the convention center to Bayside A&B at 3950 S. Las Vegas Blvd., and shows can load through the Bayside, Islander, or South Pacific side. We confirm which one from your show's exhibitor services manual before a truck is routed, because missing that turns a 20-minute unload into an hour of driving around the building.
The 14-Day Approved Vendor List
Mandalay Bay Convention Center's contractor and vendor policies, dated July 2022, require every contractor and vendor company to be on an approved vendors list that show management submits 14 days before load-in. It's the deadline planners miss most, because booking a vendor isn't the same as clearing them for the floor.
Every vendor on the floor also needs a certificate of insurance (COI) naming the venue, and sometimes the show organizer, as additional insured under the exact legal entity name. If your activation vendor isn't the show's official decorator, it may need Exhibitor Appointed Contractor (EAC) status, and those deadlines often close weeks before move-in. Our corporate team handles COI submission and EAC coordination as part of every booking.
Hand-Carry, Freight, and Power at Mandalay Bay
- Hand-carry: a photo booth case, marquee letter set, or rolled balloon garland that comes in on one trip by hand or hand truck goes straight to the booth space with the vendor.
- Palletized or freight-shipped equipment: arrives by truck and moves through the show's official material handling contractor. Vendors typically can't self-deliver it to the booth space.
- Power: booth, backdrop lighting, or 360 rig power is ordered in advance on the show's utility order form and installed by venue or show electricians. There usually isn't a live wall outlet to plug into.
As Christine, who runs load-in on our activations, puts it: the line between hand-carry and freight isn't about the size of your booth, it's about how it physically arrives at the building. That distinction is enforced by union jurisdiction rules at Vegas convention properties, and it's one of the first things we confirm with a new show before move-in.
Sample Load-In Timeline
- Two to four months out: book the vendor, confirm the day rate or package, and get the COI on file early.
- Four to six weeks out: confirm EAC status if the vendor isn't the official decorator, and get on show management's approved vendor list.
- One to two weeks out: confirm the dock assignment, the hand-carry versus freight plan, and any electrical order.
- Move-in day: hand-carry items go straight to the booth space, palletized freight clears material handling first, and power is tested against the pre-ordered drop before doors open.
