How to Choose a Brand Activation Vendor in Las Vegas (Marketer's Checklist)

Every trade show season we watch marketing teams burn budget on activation vendors who looked great on a website and fell apart on a show floor. The vendor was late through the loading dock, the backdrop did not match the brand kit, or the lead list arrived two weeks after the show, long after the follow-up window closed.

Vetting an activation vendor in Las Vegas is not complicated, but it is specific. Here is the checklist we would use if we were on your side of the table.

Why Vegas Vendors Are a Different Vetting Job

Las Vegas convention venues run on rules that do not exist at a hotel ballroom in your home market. Certificates of insurance with specific coverage language, exhibitor-appointed contractor paperwork, union jurisdiction over certain load-in work, and dock schedules measured in minutes. A vendor who works these buildings weekly knows the drill. A vendor shipping in for the first time learns it during your event, at your expense. We have operated as a Las Vegas vendor since 2014, and most of what goes wrong for out-of-town crews is paperwork and logistics, not equipment.

The Checklist

  • Proof of venue experience. Ask which Las Vegas convention properties they have worked in the last year. Names and dates, not logos on a website.
  • COI on request. A professional vendor produces a certificate of insurance naming your venue within a day. Hesitation here predicts hesitation everywhere.
  • EAC readiness. If your show requires exhibitor-appointed contractor registration, the vendor should know the process and their own deadlines without you explaining it.
  • Brand approval loop. Overlays, backdrops, and screens should go to your team for sign-off before the event, in writing, with revision rounds agreed up front.
  • Lead capture and data handoff. Ask exactly when and how you get the data. Same-day gallery and lead export is a reasonable bar; ours goes out while the show is still running.
  • Staffing clarity. Who is physically at the booth, and are they employees or gig-app strangers? An attendant who can speak about your activation is part of the experience.
  • A real timeline. Load-in time, setup duration, teardown window. Vendors who cannot state these numbers have not thought about your venue.

Red Flags That Save You Money

A quote far below market usually means the vendor has not priced insurance, union labor, or Vegas logistics into the number, and you will feel that gap on event day. No published pricing anywhere is another tell; we publish our corporate day rate because chasing quotes wastes planner time. And if every review mentions weddings but you are hiring for a convention, the fit is wrong even if the reviews are five stars.

Questions to Ask on the First Call

Keep it to five: Which Vegas venues have you worked this year? Can you send a COI sample today? What happens if equipment fails mid-event? When do we receive our photo and lead data? How far in advance should we book an activation vendor in Las Vegas?

For major shows, book as soon as your booth space is confirmed, typically two to four months out. Big convention weeks sell out reliable local vendors first, and what remains gets more expensive and less experienced as the date approaches.

Do we need a local vendor, or can we ship one in?

Either can work, but local vendors carry the venue relationships, the insurance already formatted for Vegas properties, and no freight or travel line items. Shipping a crew in adds cost and risk without adding capability in most activation formats.

What should a vendor include in their quote?

Equipment, an on-site attendant, custom branding, delivery and setup, and data delivery terms. Our corporate day rate runs $750 per day and includes all of those, so use that as a reference point when comparing line items.

Who handles show paperwork like EAC forms and COIs?

The vendor files their own paperwork; you or your show decorator typically submits the EAC designation. A vendor who has done this before will send you exactly what they need from you in one email rather than a slow back-and-forth.
